Data Event Activation

Each data event must be activated independently to start data gathering in the event. If you have multiple data events in your process, you must choose how to activate each of the events.     

SMART-TRIAL has different ways to activate data events. 

You can also reschedule a data event to be activated today or a day in the future.

When enrolled

The data events will automatically be activated, when enrolling a subject to the study, if  "When enrolled" is selected as the activation type. A blue square, as seen on the image, represents an activated data event. 

By clicking the blue square you can start collecting data.

When enrolled activation will only be available for the first data event in your process. 

Manual request

Manual request is activated from the Site Overview. When you enroll a subject in your study, you can manually start the data event by clicking on the white square on the right side of the Site Overview.

When you click on the inactive data event (white square), a menu will show, here you should click on “Start Data Event”, which will activate the data event, allowing you to collect data.

It is recommend using "manual request" for visit events, to ensure site personnel as much flexibility as possible - in case the subject needs to change their visit date.

Multiple activations

Multiple Activation allows the specific data event to be activated multiple times for the same subject. This type of activation is particularly useful when the same data must be collected a variable number of times e.g. every day during hospitalization.

  1. Go to Create Processes via the study overview
  2. Select Manual Request as the activation type 
  3. A new option will be available below the activation field, enable Multiple Activation

How to use multiple activations

In the picture below, Multiple Activation is turned on for the second data event. Multiple Activation data events are marked with blue and a + sign in the white square. By pressing the + icon the data event will be activated and this can be done as many times as necessary.

Specific date

The Specific Date activation lets you activate the data event on a date of your choice. You will be asked to chose the date for the activation when you enroll your subject to your study. 

The data event activation dates have to be in chronological order, meaning that the second event has to occur after the first event and so on.

The activation dates can be changed later, using the "reschedule" function.

Previous Data Event Started

Used to automatically activate a data event, after the previous data event has been activated/started plus any delays added (e.g. 8 hours). 

A data event has been activated/started when it turns blue.

We recommend this activation for automatic send out flows, if the send out time should be kept accurate, as send out will now depend on the subject completing the previous data event.

Previous Data Event Completed

Used to automatically activate a data event, when the previous data event has been completed plus any potential delays added (e.g. 7 days).

A data event is completed when ALL mandatory questions have been answered, and the data event has turned green.


Reschedule data event

You can always reschedule a data event if you determine that data collection is not possible on the first scheduled date. You can reschedule a data event to be activated on today's date or a day in the future if you have the “Reschedule” permission. 

To reschedule a data event, go to the site overview and click on the data event of interest. A new window will open, click on the “Reschedule Data Event” button.

A new window will appear and here you need to specify the new activation date of interest and if you want to apply the reschedulement for only the current data event or for all data events. If the reschedulement is applied for all subsequent data events, there will be a shift in the time of activation for all subsequent data events. The shift is determined by the difference between the original activation date and the rescheduled activation date. If the difference for instance is +7 days this means that all data events will be activated 7 days later than each data event originally was scheduled to be activated.
